It's easy to write on an envelope by hand, but having it printed with Word looks much more professional.

Printing envelopes with Word: How to do it

To print an envelope with Microsoft Word according to your wishes, proceed as follows:

  1. Open a new, blank Word document and click on “Mailings” in the top bar.
  2. Select the Start Mail Merge icon > Envelopes.
  3. A dialog window will now open.
  4. Here you can enter the recipient at the top and the sender at the bottom or have them inserted directly from your contacts.
  5. If you want to omit the sender, check the box next to “Omit”.
  6. You can also specify the printing options you want.



Printing envelopes in older versions of Word

Even in older versions of Word you can set up the envelopes like this:

  • Word 2010 and 2007: Click on the “Shipments” tab in the header and then on “Envelopes” on the far left. A dialog window opens. Go to the “Envelopes” tab.
  • Word 2003, 2002 and XP: Go to the “Tools” menu. Click on “Letters and Mailings” and then on “Envelopes and Labels”.
  • Word 2000: Go to the “Tools” menu and then to “Envelopes and Labels”.

Check print properties

Once you have entered the addresses, you should check the print properties to make sure nothing goes wrong:

  1. In the dialog box, click Options at the bottom.
  2. The first tab, “Envelope options”, opens. Here you can set the format of the envelope – for example “DL” for DIN long. DL corresponds to the normal letter format, where an A4 sheet is folded in thirds. C6 corresponds to an envelope where an A4 sheet is folded twice in the middle.
  3. Under the “Print Options” tab you can set how the envelope should be fed into the printer.
  4. Once you have configured everything to your liking, you can click on “Print” to print the envelope directly or set it up as the first page for the document by clicking on “Add to document”. This way, the envelope can be printed multiple times.
  5. The “Draft” setting is sufficient for the printer quality. This way you can save ink.
